How Payment Terms Flow Through AIMS360

From customer setup to AR aging — payment terms power every step

Payment terms aren't a single setting in AIMS360 apparel ERP — they cascade through customer setup, order entry, invoicing, AR aging, and accounting sync. Configure them once, and they enforce themselves automatically.

1

Configure terms in Codes

Setup → Codes → Terms. Build any payment term with code, description, discount %, discount days, EOM flag, net days, and credit card or pre-payment requirements.

2

Assign default per customer

Each customer record carries a default term. Nordstrom = Net 60. New boutique = Credit Card-Hold. International = FOB. Set it once on the customer, and it flows automatically.

3

Apply at order & invoice

The customer's term auto-fills on every order and invoice. Override per order when needed. AIMS360 apparel ERP calculates due dates, discount windows, and credit-card-hold logic automatically.

4

Post to AR aging & accounting

Payments land in current, 30, 60, 90, or 120+ AR aging buckets. Line-item accurate sync to QuickBooks and NetSuite with full statements and history.

Accounts Receivable & Aging

Every payment, in the right aging bucket

AR aging that makes collections obvious

AIMS360 apparel management software automatically categorizes every open invoice into current, 30, 60, 90, and 120+ aging buckets — so credit teams know exactly which accounts to call, which to put on credit-card-hold, and which to send to factor.

Combined with customer credit limits, blacklist flags, the AIMS360 CRM, and AIMS360 Pay for click-to-pay invoice links, your collections workflow is one screen instead of three spreadsheets.

Factor Integrations

Sell receivables for instant cash — automated end-to-end

AIMS360 apparel ERP integrates directly with the major apparel factors so brands can submit credit approvals, assign invoices, and reconcile factor remittance — without leaving the ERP. Skip the email back-and-forth and the manual factor reports.

  • Automated credit approval submissions
  • Invoice-level factor assignment
  • Auto-reconciliation when factor remits
  • Factor-specific aging and AR reports
Apparel Payment Terms FAQ

Everything credit and accounting teams ask

Common questions about payment terms, AR aging, factoring, and accounting sync in AIMS360 apparel ERP. For more on credit-card and ACH payment processing specifically, see AIMS360 Pay.

What payment types does AIMS360 apparel ERP support?

AIMS360 apparel ERP supports every B2B payment type apparel wholesale brands need: net terms (Net 7, 15, 30, 45, 60, 90, 120), end-of-month (EOM) terms, early-pay discount terms (2/10, 3.5%, 5%, 10%, 15% discounts), credit card, debit, ACH bank transfer, wire transfer, COD, letter of credit (LC), ROG (receipt of goods), FOB terms, prepayment, factoring, BNPL, consignment, memo/on-approval, dating, and chargeback reserve.

Customers can also create unlimited custom payment terms in Setup → Codes → Terms with custom discount %, discount days, EOM flag, net days, and credit card or pre-payment requirements.

Can I create custom payment terms in AIMS360?

Yes. AIMS360 apparel software lets credit and accounting teams create unlimited custom payment terms in the Setup → Codes → Terms module. Each term is configured with a unique TermCode, description, discount percentage, discount days, end-of-month (EOM) flag, net days, order status defaults, and credit card or pre-payment requirements. The system ships with 38+ standard terms covering common apparel wholesale scenarios — and you can copy any of them as a starting point.

What is the difference between Net 30 and 2/10 Net 30?

Net 30 means the buyer must pay the full invoice within 30 days of the invoice date.

2/10 Net 30 means the buyer can take a 2% discount if they pay within 10 days, otherwise the full amount is due in 30 days. AIMS360 apparel ERP supports both — and configures the discount percentage, discount days, and net days separately so accounting teams can model any early-pay incentive program.

What does EOM (End of Month) mean in apparel payment terms?

EOM stands for End of Month. An EOM term such as 8/10 EOM means the discount and net date are calculated from the end of the invoice month, not the invoice date itself. So an invoice dated June 15 with 8/10 EOM gives the buyer until July 10 to take an 8% early-pay discount.

EOM terms are common in apparel wholesale because they align with retailer accounts payable cycles — buyers process all invoices for a given month in one batch.

Does AIMS360 support factoring for apparel wholesale receivables?

Yes. AIMS360 apparel ERP integrates with major apparel factors including CIT, Wells Fargo, Hilldun, Rosenthal, Goodman Factors, Capital Business Credit, Merchant Factors, and First Capital. Brands can assign invoices to a factor for instant cash advance, and AIMS360 automates factor approval submissions, factor assignment on invoices, and reconciliation when the factor remits.

See the full list on the AIMS360 Financing integrations page.

What is ROG (Receipt of Goods) in apparel payment terms?

ROG stands for Receipt of Goods. With ROG terms, the net days and any discount days are counted from when the buyer physically receives the goods, not the invoice date. This protects retailers in long-lead-time apparel shipments — for example, an order shipped from overseas might take weeks to arrive, so '10 Day ROG' gives the buyer 10 days from delivery to pay.

AIMS360 apparel ERP supports ROG terms natively, including hybrid terms like '50% Wire 50% 10-Day ROG' and 'ROG 80% Bal 90'.

Can AIMS360 handle consignment, memo, and guaranteed-sale apparel terms?

Yes. AIMS360 apparel software supports:

Consignment — inventory ships to the retailer but title remains with the brand until sold.

Memo / On-Approval — typical for showroom samples, editorial pulls, or guaranteed-sale arrangements with boutiques.

Guaranteed Sale — goods consigned with full right of return, common for new product launches.

Each term type generates the appropriate AR aging, inventory accounting, and revenue recognition treatment.

How do payment terms flow into accounts receivable (AR) in AIMS360?

When a customer is set up in AIMS360 apparel ERP, a default payment term is assigned to their account. When orders are entered, the term flows automatically through to the invoice, where AIMS360 calculates the due date, any early-pay discount window, and the AR aging bucket.

Payments received are matched to invoices and post to QuickBooks Desktop, QuickBooks Online, or NetSuite line-item accurate. AR aging reports show current, 30, 60, 90, and 120+ day buckets for collections prioritization.

Can I require a credit card or prepayment for specific terms?

Yes. Each AIMS360 payment term has Credit Card Terms and Pre-Payment Required flags. You can configure terms like 'CC ONLY' to require credit card payment before shipment, 'PREPAID' for full prepayment, or 'Credit Card-Hold' to place orders on hold pending card authorization.

This is especially useful for first-time buyers, blacklisted accounts, or markets where you want to reduce risk. Credit-card payments process through AIMS360 Pay with PCI-compliant tokenization.

Does AIMS360 support letter of credit (LC) and FOB international apparel payments?

Yes. AIMS360 apparel ERP includes letter of credit (LC) terms commonly used in international apparel trade, plus FOB terms like 'FOB 30%TT-DEP NET 30 W/DOCS' (30% T/T deposit, balance Net 30 against shipping documents) and 'FOB 100% TT' (full T/T payment before shipment).

Combined with multi-currency support, this makes AIMS360 well-suited for brands sourcing globally and selling cross-border into the EU, UK, APAC, and Canada.

Does AIMS360 support buy now pay later (BNPL) for wholesale buyers?

Yes. AIMS360 apparel management software integrates with B2B financing partners that offer buy now pay later for wholesale apparel orders. The financing partner pays the brand up front and the buyer pays the financing partner over time.

This gives apparel brands the same buy now pay later wholesale flexibility buyers expect from JOOR, NuOrder, and Faire — but tied directly to ERP credit limits and AR aging. See financing integrations for the current partner list.

How does AIMS360 handle chargeback reserves and retailer compliance penalties?

AIMS360 apparel ERP supports chargeback reserve terms and deduction tracking on invoices. Retailer chargebacks (for late shipments, ASN errors, label compliance, etc.) can be deducted from payments and tracked separately so brands can dispute them.

AR aging reports surface unpaid balances net of chargebacks, and the integrated EDI module helps prevent chargebacks before they happen by enforcing routing guide compliance.
