Family Dollar EDI Integration

Family Dollar EDI and inventory, one system

AIMS360 is a consumer brands ERP with Family Dollar EDI built in. One platform runs your inventory by style, color and size and produces every document Family Dollar asks for: 850 orders and 860 changes in, 855 acknowledgments, Family Dollar carton labels, 856 ASNs and 810 invoices out with your vendor number where the map wants it, 812 adjustments, 864 rejections and 852 activity posted where they belong, and 997s both ways, all through the SPS Commerce network Family Dollar uses for supplier onboarding. The connection is managed by our EDI team.

What system manages inventory and does EDI with Family Dollar? AIMS360. It runs your inventory and your Family Dollar EDI in one platform: native maps for the 850, 855, 860, 856, 810, 812, 864, 852 and 997 in the mix of X12 4030 and 4010 Family Dollar uses, connected through the SPS Commerce network that runs its supplier onboarding, the Family Dollar carton label printed from the same shipment record as the ASN, and the vendor number carried on every 810 so nothing comes back on an 864. Family Dollar has been a standalone company since Dollar Tree completed its sale on July 7, 2025, with its own vendor guide and its own chargeback schedule revised in November 2025, and AIMS360 treats it as a separate trading partner. When a retailer mandates SPS as its network, AIMS360 connects to SPS natively for that retailer and your team keeps working inside AIMS360.

Family Dollar EDI Documents

Every document Family Dollar exchanges, in both X12 versions

Built from the same ERP records that run your inventory, warehouse and accounting, so the label on the carton, the ASN and the invoice describe the same shipment.

Transaction What it does for Family Dollar
EDI 850 purchase order Family Dollar transmits the order in X12 4030, in a single location and a multi location form, and AIMS360 imports it as a sales order validated against your catalog at the UPC level. The PO number can run to 22 characters and has to come back on the invoice exactly as it arrived.
EDI 855 acknowledgment Returned from the order record in X12 4010, so the buyer knows what will ship before the release in OTM. AIMS360 sends it with the quantities you actually allocated.
EDI 860 purchase order change Family Dollar changes orders by 860 in 4030 rather than reissuing the 850. AIMS360 applies the change to the open order, which matters because on time in full is scored against what was finally ordered.
EDI 856 ship notice (ASN) Carton-level notice of what is on the truck, sent at shipment close. Family Dollar receives by appointment through C3 Reservations, so the ASN has to be in before the trailer is. AIMS360 builds it from the shipment your warehouse closed.
EDI 810 invoice One per PO in X12 4030, with your vendor number in the first REF segment. An invoice without the right vendor number is not processed, credits can only be issued through a credit memo with BIG07 set to CR, and a correction is a new invoice with a new number, never a resend. The invoice number itself is capped at 18 characters. Direct store delivery has its own 810 specification.
EDI 812 credit and debit adjustment How Family Dollar tells you about a deduction or an adjustment against an invoice. AIMS360 posts it against the invoice so accounting sees the reason before the remittance arrives.
EDI 864 text message The free text notice Family Dollar uses to reject an invoice, including one with the wrong vendor number. AIMS360 logs it against the trading partner so a rejected invoice does not sit unread while the payment clock runs.
EDI 852 product activity Sales and inventory movement by item, in X12 4010, when Family Dollar shares it. AIMS360 stores it against the style so the buyer conversation starts with the same numbers.
EDI 997 acknowledgment Both directions on every document. AIMS360 generates the outbound 997 on receipt.

Vendor Requirements

What Family Dollar actually requires from a vendor

Family Dollar publishes its vendor guide in parts on corporate.familydollar.com. Three of them have been revised since the company became independent in July 2025: the distribution requirements in May 2026, the transportation guidelines in August 2025, and the chargeback policy in November 2025. The rest were carried over from the Dollar Tree era unchanged. The figures below say which is which. Confirm against the current copy before you rely on any number here.

Requirement What Family Dollar expects
EDI network Family Dollar's supplier onboarding runs through SPS Commerce, which is onboarding Family Dollar suppliers into 2026 under what SPS calls an electronic order fulfillment modernization program. The mapping guides for the 850, 855, 856, 860, 810, 812, 852 and 864 are hosted on the SPS community site. Merchandise vendors also get free access to the Ariba Network vendor portal for invoice and payment status.
X12 versions Mixed, and it matters for the maps. The 850, 860, 810 and 812 are 4030. The 855 and 852 are 4010. A map built for one version does not pass testing on the other.
Invoice Vendor number in the first REF segment or the invoice is not processed and comes back on an 864. PO number in BIG04, up to 22 characters, matching a real Family Dollar PO. Invoice number in BIG02, 18 characters at most. Credits only by credit memo with BIG07 set to CR. A wrong invoice is replaced with a new invoice number, not resent.
On time in full The OTIF program splits shipments into the DC or warehouse program and what Family Dollar calls DSD, which in its guide means import product shipped direct to stores rather than domestic store delivery. A 90 percent fill rate threshold governs the score, and an OTIF miss is charged at $375 per PO.
Releasing the shipment Collect freight is released in OTM at least seven days before the earliest ship date on the purchase order. Prepaid freight needs an appointment on or before the Not After date, and the carrier has to arrive within thirty minutes of it.
Portals The Custom Vendor Portal at cvp.familydollar.com is mandatory for submitting shipment details on prepaid and collect freight into the DCs. Appointments go through C3 Reservations against a shipment ID. Routing runs in Oracle Transportation Management.
Distribution centers Nine named locations on the current DC list: Matthews, North Carolina; Front Royal, Virginia; Duncan, Oklahoma; Morehead, Kentucky; Maquoketa, Iowa; Marianna, Florida; Rome, New York; Ashley, Indiana; and St. George, Utah.
Carton label Family Dollar creates its own carton labels using an Interleaved 2 of 5 barcode, 10 digit and 8 digit, not a GS1-128 SSCC. For the selling unit, the UPC is printed as numbers, not a barcode, and a deal pack or a carton with several UPCs is marked Mixed. This part of the guide is dated May 2022 and has not been revised since the sale.
Pallets Grade A GMA four way pallets in good condition, 48 by 40 inches, loaded to no more than 2,500 pounds. This is the distribution requirements part, revised May 2026, the newest document in the guide.
Chargebacks Adulterated product $500 per incident. Missing or incorrect proof of delivery $200. OTIF non compliance $375 per PO. A trailer ordered and not used $75 plus $300, rising to $200 plus $300 after the second in a month. Detention at loading $75 plus $60 an hour. Freshness non compliance 20 percent. DC handling for carton mix, marking, labeling, pallet and wrong DC problems, $175 plus $100 an hour plus supplies. Revised November 14, 2025.
Disputes Addressed to the team on the contacts matrix: DC problems to the regional DC, merchandise to the merchandising team, transportation to the freight chargeback mailbox, and everything else to vendor compliance. No dispute window is published.
Family Dollar became a standalone company on July 7, 2025, when Dollar Tree completed its sale to Brigade Capital Management and Macellum Capital Management. It kept its Chesapeake, Virginia headquarters, named Duncan MacNaughton chairman and CEO, and started with more than 7,500 stores. It has its own vendor guide, its own portals and its own chargeback schedule, revised since the sale. Dollar Tree has its own page here. A trading partner setup for one does not cover the other, and the chargeback schedule on this page is Family Dollar's alone.

Family Dollar EDI Workflow

From purchase order to paid invoice

One loop, one system, and a $375 line item for every PO that misses.

Step What happens
1. Order arrives The 850 lands in 4030 through the SPS network and becomes a sales order, validated against your catalog at the UPC level, with the DC and the Not After date read off the order. An 860 later in the window is applied to the same order.
2. Acknowledge The 997 goes back on receipt. The 855 goes back in 4010 from the order record with the quantities you allocated.
3. Release Collect freight is released in OTM at least seven days before the earliest ship date. Prepaid freight is booked on your carrier with an appointment on or before the Not After date.
4. Shipment details Carton counts, weights and the shipment ID go into the Custom Vendor Portal, and the appointment is booked in C3 Reservations against that ID.
5. Pick, pack, ship The built-in warehouse module packs to the case pack on the PO and prints the Family Dollar carton label from the shipment record, Interleaved 2 of 5, UPC as numbers, Mixed where the carton holds more than one.
6. ASN The 856 transmits at shipment close, carton by carton, before the appointment, with the DC matching the PO.
7. Invoice The 810 goes out in 4030 with the vendor number in the first REF, the PO number in BIG04, an 18 character or shorter invoice number, one per PO.
8. Adjustments An 812 or an 864 comes back if Family Dollar deducts or rejects, and AIMS360 posts it against the invoice. A credit goes out as a credit memo with BIG07 set to CR, never as a negative line.

Native vs Bolted On

Do you need a second system for Family Dollar?

Family Dollar runs its program on the SPS network. That settles the network. It does not settle where your orders and inventory live.

Native to the ERP

AIMS360

The carton label, the ASN and the invoice come off one shipment record, the vendor number sits on the trading partner so it is on every 810, and the 4030 and 4010 maps are both ours. When a retailer mandates SPS as its network, AIMS360 connects to SPS natively for that retailer and your team keeps working inside AIMS360.

Our EDI team runs the connection, the SPS testing and the maps.

Bolted on

A second system for orders and inventory

Family Dollar's program runs on the SPS network, so the question is not whether SPS is involved. It is whether your orders, inventory, shipments and invoices live in a second system that has to be kept in sync with your ERP.

An invoice rejected on an 864 for a missing vendor number is the kind of thing that happens between two systems, not inside one.

Family Dollar Programs

Collect, prepaid, import and direct store delivery

Four ways a Family Dollar purchase order can move, and a definition of DSD you should check before you assume it.

Program 01

DC collect

The main program. You release in OTM at least seven days before the earliest ship date, Family Dollar routes the freight, and it lands at one of nine distribution centers by appointment. On time in full is scored on every PO, at $375 when it is missed.

Program 02

DC prepaid

You book your own carrier and pay the freight. The appointment has to fall on or before the Not After date, the carrier has to arrive within thirty minutes of it, and the shipment details still go into the Custom Vendor Portal.

Program 03

Import

Family Dollar sources overseas under its own import guidelines, Part 6 of the vendor guide, with a separate import supplier performance program in Appendix B. In Family Dollar's OTIF guide, import product shipped straight to stores is what it calls DSD. Send us the current documents before you commit to a first ship date.

Program 04

Direct store delivery invoicing

A separate 810 specification covers direct store delivery, still in 4030, with the same vendor number and credit memo rules. If your category delivers to stores, the map is different and the testing is separate.

One thing to keep straight: there is no Family Dollar drop ship or marketplace program in its published supplier documents. If a buyer offers you one, send us the document and our EDI team will confirm the scope before you commit.

Collect through OTMPrepaid on the Not After dateNine DCs by appointmentImport under Part 6No drop ship program

One Stock Record

Nine distribution centers, one stock record

Family Dollar scores on time in full at $375 a PO and receives at nine DCs by appointment, so the useful number is not what you have in total, it is what you can put on one release for one DC and ship complete.

Situation What AIMS360 does
Nine DCs, one release each The DC cross reference lives once in AIMS360, so the ASN, the carton label, the CVP entry and the invoice all carry the same destination without anyone retyping it.
A 90 percent fill rate threshold Allocation runs against the whole PO before the release in OTM, so the quantities you release are quantities the warehouse can pack, and a partial is a decision rather than a surprise.
More than one warehouse Availability rolls up across locations, and the shipment carries the location it actually leaves from, which is the origin on the release.
A 3PL holding stock Integrated 3PL locations feed the same record, so the carton count and weight in the Custom Vendor Portal are real.
Selling the other value chains The same pool feeds Family Dollar, Dollar Tree, Walmart, Burlington and the rest without a separate inventory file per retailer. Each is its own trading partner with its own rules, and since July 2025 Family Dollar and Dollar Tree are two of them.

Managed Onboarding

We onboard you to Family Dollar, then keep you compliant

Our EDI team builds the connection and tests it through SPS Commerce with Family Dollar. You supply the vendor number, the Custom Vendor Portal login and the buyer's PO instructions.

Stage What we do
Before kickoff Pull the current parts of the Family Dollar vendor guide, note which have been revised since the July 2025 sale, and confirm whether you are collect or prepaid and DC or direct store delivery, because the release rule, the FOB and the 810 map depend on it.
Setup Build the customer account with the vendor number on the trading partner for the REF segment, the nine DC cross reference, packing rules to the case pack, the Interleaved 2 of 5 carton label, FOB, carrier SCACs and the SPS trading partnership.
Maps Load the 4030 maps for the 850, 860, 810 and 812 and the 4010 maps for the 855 and 852, because Family Dollar uses both versions.
Label proof Get the carton label approved against the Family Dollar spec before the first shipment. It is not the label your other retailers use.
Testing Test the 850, 855, 860, 856, 810, 812, 864 and 997 end to end through SPS, including a credit memo with BIG07 set to CR and an invoice rejected on an 864.
Go live Watch the first PO from release in OTM to the CVP entry, the appointment, the ASN and the invoice, then read the first remittance with you for 812 adjustments.
After Track revisions. Family Dollar revised distribution requirements in May 2026, transportation in August 2025 and the chargeback policy in November 2025, and the rest of the guide is due.

We keep emergency EDI support running around the clock, because an appointment at a Family Dollar DC does not move because your ASN did not go.

Family Dollar EDI FAQ

Family Dollar EDI questions, answered

The sale, the SPS network, the mixed X12 versions, the vendor number on the invoice, and the November 2025 chargeback schedule.

AIMS360. It is a consumer brands ERP with Family Dollar EDI built in: the 850 purchase order and 860 change in, the 855 acknowledgment, 856 ship notice and 810 invoice out with your vendor number in the REF segment, the 812, 864 and 852 posted against the invoice and the style, and 997s both directions, connected through the SPS Commerce network Family Dollar uses for supplier onboarding. Inventory, warehouse and EDI are one system. Our own EDI team runs the connection.

No. Dollar Tree completed the sale of Family Dollar to Brigade Capital Management and Macellum Capital Management on July 7, 2025. Family Dollar is a standalone private company headquartered in Chesapeake, Virginia, with Duncan MacNaughton as chairman and CEO, its own vendor guide, its own portals and its own chargeback schedule. AIMS360 treats it as a separate trading partner from Dollar Tree.

The 850 purchase order in single and multi location forms, 855 acknowledgment, 856 ship notice, 860 change, 810 invoice with a separate direct store delivery specification, 812 credit and debit adjustment, 864 text message, 852 product activity and 997 acknowledgment. The 850, 860, 810 and 812 are X12 4030 and the 855 and 852 are 4010.

Family Dollar's supplier onboarding runs through SPS Commerce, which hosts its mapping guides and is onboarding suppliers into 2026 under an electronic order fulfillment modernization program. Your documents reach Family Dollar through the SPS network and pass its testing. When a retailer mandates SPS as its network, AIMS360 connects to SPS natively for that retailer and your team keeps working inside AIMS360.

Your vendor number in the first REF segment, or the invoice is not processed and comes back on an 864. The PO number in BIG04, up to 22 characters, matching a real Family Dollar PO. An invoice number of 18 characters or fewer. Credits only through a credit memo with BIG07 set to CR, and a correction is a new invoice with a new number rather than a resend. Direct store delivery has its own 810 specification.

From the chargeback policy revised November 14, 2025: adulterated product $500 per incident, missing or incorrect proof of delivery $200, on time in full non compliance $375 per PO, a trailer ordered and not used $75 plus $300 and $200 plus $300 after the second in a month, detention at loading $75 plus $60 an hour, freshness non compliance 20 percent, and DC handling for carton, marking, label, pallet and wrong DC problems at $175 plus $100 an hour plus supplies.

Collect freight is released in Oracle Transportation Management at least seven days before the earliest ship date on the PO, and Family Dollar routes it. Prepaid freight is booked on your carrier with an appointment on or before the Not After date, and the carrier has to arrive within thirty minutes. Shipment details go into the Custom Vendor Portal and appointments into C3 Reservations against a shipment ID.

Family Dollar creates its own carton labels using an Interleaved 2 of 5 barcode in 10 digit and 8 digit forms rather than a GS1-128 SSCC. The selling unit UPC is printed as numbers, not a barcode, and a deal pack or a carton with several UPCs is marked Mixed. AIMS360 prints the Family Dollar label from the same shipment record as the ASN. This part of the guide is dated May 2022 and has not been revised since the sale.

Not what most retailers mean. In Family Dollar's on time in full guide, the DC or warehouse program is domestic freight into its distribution centers, and DSD is import product shipped directly to stores. Check which program your PO falls under before you assume the domestic direct store delivery definition.

The current DC list names Matthews, North Carolina; Front Royal, Virginia; Duncan, Oklahoma; Morehead, Kentucky; Maquoketa, Iowa; Marianna, Florida; Rome, New York; Ashley, Indiana; and St. George, Utah. Every delivery is by appointment through C3 Reservations.

More than 7,500 at the July 2025 sale, according to the announcement. Family Dollar has closed stores since then and has not published a newer total, so treat 7,500 as the last official figure rather than the current one.

Not one that appears in its published supplier documents. The vendor guide covers DC collect and prepaid freight, import under Part 6 and direct store delivery invoicing. If a buyer offers you a consumer drop ship program, send us the document and our EDI team will confirm the scope.

Through the team on the contacts matrix in the chargeback policy: DC problems to the regional DC mailbox, merchandise to the merchandising team, transportation to the freight chargeback mailbox and everything else to vendor compliance. No dispute window is published. AIMS360 keeps the ASN, the label data, the CVP entry and the invoice on the shipment record, which is the documentation a dispute needs.

We do. The maps belong to us, so a revision is our work rather than a project for your team. Family Dollar has revised three parts of its vendor guide since the July 2025 sale and the rest is due, and the label, release and invoice rules move with it.
