Rural King EDI integration: certified before go live, with the 824 telling you what failed

Rural King is America's Farm and Home Store, a family owned chain founded in Mattoon, Illinois in 1960 and now past 150 stores in 17 states. It certifies vendors before it trades with them, answers a document it cannot process with an 824 application advice, and can send store sell-through on the 852. AIMS360 has taken vendors through Rural King EDI certification and runs the program after go live.

The short answer

What is Rural King EDI?

Rural King EDI is the electronic document exchange Rural King runs with its vendors. Rural King's own description of its EDI operation names the 850 purchase order, 855 acknowledgment, 856 advance ship notice, 810 invoice, 812 credit and debit adjustment, 824 application advice and 997 functional acknowledgment, and vendors complete compliance testing before they go live. AIMS360 runs that set natively and has taken vendors through Rural King certification.

Rural King does not publish its vendor EDI guide openly. The specifics come with your vendor setup, including which EDI ID to use, and that ID depends on the business relationship, so confirm it before testing rather than after.

The retailer

Rural King, America's Farm and Home Store

On 5 June 1960, neighboring farmers Kermit Speer and Keith Beaird sold their farms, pooled what they had and opened a store in a former implement building in Mattoon, Illinois. A second store followed in Paris, Illinois in 1962. The company, legally RK Holdings, LLP, is still family owned in its third generation, with the Speer and Melvin families behind it and Alex Melvin as owner and chairman.

Rural King has grown past 150 stores in 17 states, pushing into the Southeast during 2026 with openings in Alabama, Georgia, Mississippi and Florida. In June 2026 it broke ground on a $75 million store support campus in Mattoon, expected by spring 2028. Every store still hands out free popcorn and coffee.

The practical version: Rural King is a private, family owned company headquartered in Mattoon, and it is not part of Tractor Supply. The two chains compete for the same rural customer with different vendor programs, so a Tractor Supply setup does not carry over.

Before the first live order

Rural King certifies vendors before go live

Rural King requires compliance testing before a vendor trades in production, covering the purchase order, the advance ship notice, the invoice and the application advice. Its own EDI role is explicit about enforcing compliance requirements, tracking partner non-compliance and guiding vendors through implementation.

01

Get the EDI ID right first

Rural King expects a specific EDI ID depending on the business relationship. The wrong one means documents are not sent or received, which looks like a mapping problem and is not one.

02

Test and production are separate

During certification, test and production files can both reach you. Every X12 interchange is marked as test or production in its header, so check that flag before treating a second copy of an order as a new one.

03

Certification, then production

Once testing passes, Rural King moves the vendor to production. AIMS360 has taken vendors through Rural King certification, so the maps are not built from scratch for each brand.

04

Compliance keeps being measured

Rural King tracks EDI performance and partner non-compliance after go live, so the standard you certified at is the standard you are held to.

The feedback loop

The 824: how Rural King tells you a document failed

Many retailers stay silent when an invoice cannot be processed, and the vendor finds out when payment does not arrive. Rural King sends an 824 application advice instead: the document was received, it failed, and here is why. The 824 is part of the certification cycle, which means it is part of the production loop too.

Treat a failed 824 as a payment problem rather than an EDI notice. An invoice that did not post is an invoice that will not be paid until it is corrected and resent, so 824s need an owner who reads them every day rather than a shared mailbox nobody checks.

The usual cause of a failed invoice is a mandatory field missing from the 810. Because the AIMS360 invoice is built from the shipment and the original purchase order, the fields Rural King checks are filled from data that already exists rather than typed by hand, and any deduction that follows is logged against the original order.
Sell-through

Store sales on the 852

Rural King can send 852 product activity data, store level sales by item, once it is set up for your account. For a broad assortment across 150 plus stores the raw feed is large, large enough to run to thousands of pages when printed. That is the point of it: it is a data feed to analyze, not a document to read.

Used well, the 852 shows which stores sell through, which items to reorder before Rural King asks, and where the replenishment conversation should start. See EDI 852 for how the document is structured.

The aisles

What Rural King buys, and which brands sell to it

Feed, seed and farm supplies, lawn and garden, hardware and tools, workwear and boots, home goods, automotive, equine and pet supplies, hunting and fishing, firearms and ammunition, live chicks in season and toys around the holidays. That makes Rural King a buyer for more consumer brand categories than its name suggests.

Pet food, treats and supplies

Lot number and expiration date held on the lot record, with expired stock moved to a hold location by workflow so it is not picked. The lot travels with the shipment.

Workwear and boots

Style, color and size on one record instead of a flat SKU list, with size runs that hold up across a 150 store chain.

Outdoor, hunting and fishing

Gear and apparel in one catalog, with seasonal buys and carryover visible on the same inventory record.

Home and seasonal

Finish and pack variants on one item master, and landed cost rolled into the unit when goods arrive by container.

AIMS360

Running Rural King from one system

AIMS360 is a consumer brands ERP with EDI built in house and mapped to each retailer's own specification.

Step 01

Certification on existing maps

The Rural King maps have already been through certification for AIMS360 vendors, so testing starts from a working setup rather than a build.

Step 02

Orders against live stock

Every Rural King purchase order imports into the same platform holding your inventory, beside your other retailers, wholesale and DTC.

Step 03

Lot and date where the product has them

Feed, treats and other dated goods carry the lot and expiration date on the lot record, and expired stock moves to a hold location so it is not picked.

Step 04

Scan, label and ASN

Mobile scanning builds each carton, prints the label your vendor setup calls for, and the 856 is built from the same scans.

Step 05

Invoice from the shipment

The 810 comes off the same shipment, so the mandatory fields Rural King checks are filled from the record, which keeps the 824s rare.

Step 06

One pool across every account

Rural King, Tractor Supply, PetSmart and your own site draw on one available to sell number. No per document fees on the AIMS360 side.

Rural King EDI FAQ

What farm, pet and outdoor brands ask

Yes, natively over EDI as part of the ERP. AIMS360 has taken vendors through Rural King EDI certification and runs the program after go live: purchase orders land against live inventory, the ASN is built from what was scanned, the invoice comes off the same shipment, and 824 application advice and 852 sell-through come back to the same system. There are no per document or per kilocharacter fees on the AIMS360 side.

Rural King's own description of its EDI operation names the 850 purchase order, 855 acknowledgment, 856 advance ship notice, 810 invoice, 812 credit and debit adjustment, 824 application advice and 997 functional acknowledgment. Rural King can also send 852 product activity data once it is set up for your account. Rural King does not publish its vendor EDI guide openly, so confirm the set issued to your account before mapping.

Yes. Rural King requires compliance testing before a vendor trades in production, covering the purchase order, the advance ship notice, the invoice and the 824 application advice. Rural King's EDI team keeps tracking partner compliance after go live, so the standard you certify at is the standard you are held to.

An application advice. It tells you Rural King received a document but could not process it, and why. The most common case is an invoice that failed to post, usually because a mandatory field was missing from the 810. Treat a failed 824 as a payment problem: the invoice will not be paid until it is corrected and resent, so 824s need an owner who reads them every day.

By the usage indicator in the interchange header. Every X12 interchange is marked as test or production, so during certification a second copy of an order may be the test version of the same purchase order. Only production data should drive a live order, and the test copy simply confirms the connection works.

The one Rural King assigns for your business relationship. Rural King expects a specific EDI ID depending on how you sell to it, and the wrong one means documents are not sent or received, which looks like a mapping failure and is not. Confirm the ID with Rural King before testing starts.

Yes, on the 852 product activity document once it is set up for your account. It carries store level sales by item. For a broad assortment across 150 plus stores the raw feed is large enough to run to thousands of pages when printed, so it is a data feed to analyze for sell-through and reorders rather than a report to read.

No. Rural King is a private, family owned company, legally RK Holdings, LLP, headquartered in Mattoon, Illinois, with more than 150 stores in 17 states. Tractor Supply is a separate public company based in Brentwood, Tennessee. They compete for the same rural customer with different vendor programs, so a Tractor Supply EDI setup does not carry over to Rural King.

Feed, seed and farm supplies, lawn and garden, hardware and tools, workwear and boots, home goods, automotive, equine and pet supplies, hunting and fishing, firearms and ammunition, live chicks in season and toys around the holidays. That makes it a buyer for more consumer brand categories than its name suggests, including pet, outdoor, workwear and home.

The lot number and expiration date are held on the lot record in AIMS360, and expired stock is moved to a hold location by workflow so it is not picked. The lot travels with the shipment, so which lots went to Rural King can be answered from the record if a question comes back.

Yes, and most farm, pet and outdoor brands do. Each account consumes stock separately and none reserves units for the others, so the same unit can be promised twice. AIMS360 holds one available to sell pool across your warehouse and your 3PL, so a Rural King purchase order, a Tractor Supply order and a Shopify checkout draw on the same number.

Not with AIMS360. The EDI is part of the ERP, so the ASN comes from the same system that scanned the cartons and the invoice comes off the same shipment. There is no second copy of the order to keep in step, and no per document or per kilocharacter fees on the AIMS360 side.
