What system manages inventory and does EDI with Zappos? AIMS360. It runs your inventory and your Zappos EDI in one platform: native maps for the 850, 855, 860, 856 and 810, GS1-128 carton labels printed from the same shipment record as the ASN, and the Zappos dispatch number carried in the PUA/Load field where the guide wants it. The ASN and invoice go out together within two hours of the shipment leaving your dock, which is what Zappos requires, because both come off the shipment your warehouse just closed. Zappos is an Amazon subsidiary and its orders ship into Amazon fulfillment centers, each with its own EDI location ID, which AIMS360 holds in one cross reference. You do not pair AIMS360 with SPS Commerce, TrueCommerce or another EDI network.

Zappos EDI Documents

Every document Zappos exchanges, generated natively

Built from the same ERP records that run your inventory, warehouse and accounting, so the label on the carton, the ASN and the invoice describe the same shipment.

Transaction What it does for Zappos
EDI 850 purchase order Zappos transmits the order and AIMS360 imports it as a sales order, validated against your catalog at the UPC level. The PO number can run to 22 alphanumeric characters, and Zappos works on seven day ship windows. Silence for two business days counts as acceptance.
EDI 855 acknowledgment The 2026 guide lists the 855 as optional. If you send one, Zappos accepts exactly three response codes, AC, AD and RJ, and rejects the file on anything else. A resubmitted 855 has to land at least seven business days before the start ship date.
EDI 860 purchase order change Zappos does send purchase order changes, which puts it in the minority. AIMS360 applies the 860 to the open order rather than leaving your team to spot the difference against a new 850.
EDI 856 ship notice (ASN) Carton-level notice carrying SSCC-18 data from the GS1-128 label, transmitted within two hours of the shipment leaving your dock. The Zappos dispatch number rides in the PUA/Load field, and small package shipments carry a tracking number per carton.
EDI 810 invoice Also due within two hours of the shipment leaving your dock, and Zappos expects the ASN and invoice to arrive together. EDI is the only route: one invoice per PO, a unique invoice number, and the UPCs on the 810 must match the UPCs on the order or payment waits for the buyer.
EDI 997 acknowledgment Zappos returns a rejected 997 on any document that fails, emails your EDI contact an error notification, and does not process the failed file. Someone on your side has to be able to correct and resend.
GS1-128 shipping label Listed by Zappos alongside the transactions as a required deliverable. One label per carton, printed from the same shipment record that produced the ASN, so the SSCC on the box and the SSCC in the file are the same number.

Vendor Requirements

What Zappos actually requires from a vendor

Zappos publishes its vendor guide openly and revises it often. The current edition is marked revised September 2026, and the figures below come from it. Zappos is an Amazon subsidiary, and its purchase orders ship into Amazon fulfillment centers, which is where the precision comes from.

Requirement What Zappos expects
ASN and invoice timing Both within two hours of the shipment leaving your dock, and Zappos expects to receive them at the same time. The invoice due date clock starts on the day a compliant EDI transmission is received, not the day you ship.
GS1-128 label format Four by six inches. GS1-128 symbology, X dimension 15 to 20 mils, bar height 1.063 inches, quiet zones of at least a quarter inch. The PO number appears both human readable and barcoded, and the PO barcode must scan as the PO number only.
One label, no extras Each carton carries one GS1-128 label and no other barcodes beyond the PO number, the SSCC-18 and the zip code. Place it on the side of the carton, at least an inch from any corner, edge or tape, never across a seam.
Carton dimensions Minimum 8 by 6 by 6 inches, maximum 50 pounds. Footwear cartons top out at 32 by 24 by 27 inches. Everything else must not exceed 25 inches on any side unless the product itself is larger.
Units per carton Minimums by category: five units of apparel, ten pairs of footwear, six pairs of boots, ten pairs of sandals. Every UPC individually packaged, no case packs, and no loose fill of any kind.
Pallets GMA grade B or better, 40 by 48 inch four way wood pallets, CHEP or PECO accepted. Built to 49 inches, 44 of inventory on a 5 inch pallet, gross weight under 1,600 pounds, non stackable pallets no taller than 72 inches.
Routing requests Submitted through the Zappos Routing Request Portal at least one business day before the ready to ship date, and no same day dates. At month end and through the September to November peak, three business days. The Zappos 3PL aims to assign a carrier within two business days of the ready date.
Consolidation All POs and brands consolidated to ship no more than twice a month, on non consecutive days. Full truckloads of 3,300 cubic feet are the exception and can be submitted as they become available.
Small package limits One shipment per day, no more than 20 cartons. Above 20 cartons it has to move LTL or truckload, and LTL needs at least 100 cartons to get a live unload appointment.
Bill of lading One BOL per pickup, carrying the Zappos PO number and the dispatch number, signed shipper load and count. The BOL number must be unique, cannot be a date, a time or a single character, and can simply be the dispatch number.
UPCs GS1 certified only, bought from GS1 directly under a company name that matches yours. Zappos names the third party barcode resellers it will not accept, and refuses any UPC that has been reused. One UPC or one EAN on the label, never both.
Fill rate Purchase orders, and initial POs especially, should ship 100 percent complete on a single dispatch. Multiple dispatches against one PO show up on the scorecard.
Zappos refuses and returns, at your expense, every carton that arrives without a compliant GS1-128 label and every unit that arrives without a GS1 certified UPC. Deviations elsewhere in the guide can be charged back as actual repackaging and handling, and you have 120 days from the claim to dispute it. Every one of those is a document problem before it is a warehouse problem, which is what building the label and the ASN from one shipment record is for.

Figures come from the Zappos Vendor Guide revised September 2026, published on the Zappos vendor resources site, and from the Zappos setup documentation our EDI team maintains. Zappos revises the guide at least yearly, so confirm against the current copy before you rely on any number here.

Zappos EDI Workflow

From purchase order to paid invoice

One loop, one system, and a clock that starts the moment the truck pulls away.

Step What happens
1. Order arrives The 850 lands and becomes a sales order, validated against your catalog at the UPC level. If Zappos changes it, an 860 follows and AIMS360 applies it to the open order.
2. Acknowledge The 855 goes back from the order record with one of the three codes Zappos accepts. Two business days of silence is treated as acceptance, so the acknowledgment is your chance to say otherwise.
3. Routing request Submitted through the Zappos portal at least one business day before the goods are ready, three at peak. Zappos returns a dispatch number, and that number follows the shipment onto the BOL and the ASN.
4. Pick, pack, ship The built-in warehouse module packs to your Zappos packing rule, individually packaged UPCs at the category minimums, and prints one GS1-128 label per carton from the shipment record.
5. Bill of lading Printed with the PO number, the dispatch number and the carrier SCAC. Truckload and LTL shipments carry a PRO number plus the dispatch number in the PUA/Load field. Small package shipments carry a tracking number per carton instead.
6. ASN The 856 transmits at shipment close, carton by carton with the SSCC-18s, inside the two hour window.
7. Invoice The 810 goes out with the ASN, one per PO, UPCs matching the order.

Native vs Bolted On

Do you need SPS Commerce or TrueCommerce for Zappos?

Short answer, no. On a two hour ASN window the answer matters more than usual.

Native to the ERP

AIMS360

The GS1-128 label, the ASN and the invoice all come off one shipment record, which is what makes a two hour window routine rather than a scramble. When Zappos scans the SSCC on the carton, it matches the SSCC in the file because they were never separate data.

Our EDI team runs the connection, the maps and the test cycle with the Zappos EDI team.

Bolted on

A separate EDI provider

Put an EDI network in front of an ERP that has no native EDI and the ASN is only as accurate as the last sync between them. Two hours after the truck leaves is not a lot of room for a batch job.

When a carton is refused, the argument is about which system was right.

Zappos Programs

Bulk, direct delivery, photo POs and drop ship

Four ways a purchase order can move, and the FOB rule that sits underneath all of them.

Program 01

Bulk to fulfillment center

The main program. Zappos routes the freight through its portal and its 3PL, the shipment moves collect, and it lands at one of a dozen Amazon fulfillment centers from Shepherdsville to Phoenix. Each FC has its own EDI location ID, which is what the store and DC cross reference in AIMS360 is for.

Program 02

Direct delivery

You choose the carrier and pay the freight, prepaid, after selecting direct delivered on the routing portal. Small package is capped at one shipment a day and 20 cartons. Above that it is LTL or truckload, and LTL needs 100 cartons for a live unload appointment.

Program 03

Photo PO

A separate purchase order the buyer releases two weeks ahead of the bulk start ship date so imagery can be shot. It ships UPS Next Day Air, needs a 100 percent fill rate on the first routing request, and cannot share a carton with any other PO.

Program 04

Drop ship

Zappos publishes a separate drop ship vendor guide with its own document set. It is a different setup from the bulk program. If your brand has been offered it, send us the guide and our EDI team will confirm the scope before you commit to dates.

One thing to keep straight: FOB. Zappos accepts collect or prepaid and nothing else, and which one you are on follows from whether Zappos routed the freight or you did. AIMS360 holds the FOB against the trading partner so it does not get retyped per order.

One Stock Record

Twelve fulfillment centers, one stock record

Zappos ships into Amazon's fulfillment network, so the useful question is not what you have in total, it is what you can put on one dispatch for one FC without splitting the PO.

Situation What AIMS360 does
Twelve fulfillment centers Each Zappos FC carries its own EDI location ID, from SDF4 in Shepherdsville, Kentucky to POC3 in Jurupa Valley, California. The cross reference lives once in AIMS360 so the ASN and invoice route to the FC on the order.
One PO, one dispatch Allocation runs against the whole PO so it can ship complete, because a second dispatch against the same order is a scorecard mark and a partial is a fill rate mark.
More than one warehouse Availability rolls up across locations, and the shipment carries the location it actually leaves from, which is the address on the routing request.
A 3PL holding stock Integrated 3PL locations feed the same record, so the carton count on the routing request is real and the carrier that shows up has room.
Selling Amazon direct as well The same pool feeds Amazon Vendor Central, Seller Central and Zappos without three inventory files. Zappos is a separate trading partner with its own vendor guide, not a channel inside Vendor Central.

Managed Onboarding

We onboard you to Zappos, then keep you compliant

Our EDI team builds the connection and tests it with the Zappos EDI team. You supply the vendor number and access to Zapporo.

Stage What we do
Before kickoff Pull the current vendor guide from the Zappos vendor resources site, confirm which programs you are approved for, and confirm your EDI contact, because Zappos emails that person when a file fails.
Setup Build the customer account with trading partner code ZAPO, the FC cross reference, FOB, packing rules at the category minimums, carrier SCAC codes and the GS1-128 label format.
Label proof Get a label approved against the published spec before volume starts. Zappos refuses cartons on the label alone.
Testing Test the 850, 855, 860, 856 and 810 end to end with the Zappos EDI team, including an ASN carrying the dispatch number in the PUA/Load field.
Go live Watch the first routed shipment through to invoice and check it against the scorecard when it posts on the 15th.
After Track guide revisions. Zappos reissues the guide at least annually and the label and carton rules move with it.

We keep emergency EDI support running around the clock, because a two hour ASN window on a Friday afternoon is not a next business day problem.

Zappos EDI FAQ

Zappos EDI questions, answered

The two hour window, the label spec, the dispatch number, and where the freight actually goes.

AIMS360. It is a consumer brands ERP with Zappos EDI built in: the 850 purchase order and 860 change in, the 855 acknowledgment, 856 ship notice with GS1-128 carton labels and 810 invoice out, with 997 acknowledgments both directions. Inventory, warehouse and EDI are the same system, so the ASN is generated from the shipment your warehouse closed. Our own EDI team runs the connection.

Within two hours of the shipment leaving your dock, and the invoice in the same window. Zappos expects the two to arrive together. That is tighter than most retailers, and it is the reason the ASN has to come off the same record the warehouse just closed rather than a file somebody exports later.

Yes. Zappos lists the 860 as a required transaction, which is unusual, since many department stores reissue the 850 instead. AIMS360 applies the 860 to the open order so the change lands where it belongs.

The 2026 vendor guide lists it as optional and treats two business days of silence as acceptance. If you send one, Zappos accepts only AC, AD and RJ and rejects the file on any other code. AIMS360 sends the 855 from the order record, so you are on the record about what you can ship rather than accepting by default.

Four by six inches, GS1-128 symbology, X dimension 15 to 20 mils, bar height 1.063 inches, quarter inch quiet zones. The PO number appears human readable and barcoded, the PO barcode scans as the PO number only, and the only barcodes on the carton are the PO, the SSCC-18 and the zip. One label per carton, on the side, an inch clear of corners, edges and tape, never over a seam.

The guide does not publish a per carton dollar figure. It says deviations may result in chargebacks or refusal and return at the vendor's expense, that every carton without a compliant GS1-128 label and every unit without a GS1 certified UPC will be refused and returned, and that non compliance is charged as actual repackaging and handling. Disputes have to be raised within 120 days of the claim.

At least one business day before the ready to ship date, through the Zappos Routing Request Portal, with no same day dates. At month end and from September through November, three business days. The Zappos 3PL aims to assign a carrier within two business days of the ready date.

It is the number Zappos returns when it routes your shipment, also called the approval number. It goes on the bill of lading with the PO number, and on the ASN in the PUA/Load field. In AIMS360 that field sits on the 856 record, and on truckload freight it travels alongside the carrier PRO number.

Cartons from 8 by 6 by 6 inches up to 50 pounds, footwear no larger than 32 by 24 by 27 inches, everything else under 25 inches on any side. Category minimums of five apparel units, ten pairs of footwear, six pairs of boots or ten pairs of sandals per carton. Pallets are GMA grade B, 40 by 48, built to 49 inches, under 1,600 pounds gross.

Into Amazon fulfillment centers. The 2026 guide lists twelve, each with its own EDI location ID, including Shepherdsville and Jeffersonville near Louisville, Indianapolis, Madison, Breinigsville, Phoenix, Pasco, Crown Point, Los Lunas, Jurupa Valley and White, Georgia. The FC on the PO decides where the ASN and invoice route.

No. The Zappos maps are native to AIMS360 and managed by our EDI team. Zappos uses Inovis as its VAN. Inovis merged into GXS in 2010 and OpenText bought GXS in 2014, so the Inovis network now runs under OpenText, and the connection to it is ours to run. A two hour ASN window is exactly the case where a separate provider syncing on a schedule is the wrong shape.

Zappos publishes a separate drop ship vendor guide with its own document specifications. It is a different setup from the bulk program covered here. If your brand has been offered it, send us the guide and our EDI team will confirm the scope before you commit to dates.

Yes. The same inventory record and the same warehouse feed Zappos, Amazon Vendor Central, Seller Central, Nordstrom and the rest of the 350-plus retailers we connect to natively. Zappos is its own trading partner with its own guide, not a channel inside Vendor Central, and AIMS360 treats it that way.

We do. The maps belong to us, so a revision is our work rather than a project for your team. Zappos reissues the guide at least yearly, the current one is marked September 2026, and the label, carton and routing rules move with it.
