AI order entry: turn a buyer's email into an AIMS360 sales order

Orders eat the day of whoever's wearing three hats: keying them in, fixing them when the buyer changes their mind, and digging for the late ones before the buyer calls. With AIMS360 connected to ChatGPT, Claude or Grok, a buyer's email becomes an AIMS360 sales order in the same chat. The assistant reads the email, matches the customer, styles, colors and sizes, shows you the exact order, and saves it on Hold after you approve.

Can ChatGPT create sales orders in my ERP?

Yes, if your ERP gives it a tool to do it. AIMS360 does. Its MCP server includes Create Order and Update Order tools that ChatGPT, Claude and Grok can use. Give the assistant a buyer's email and it builds the order with lines and sizes, shows you a preview with the unit and dollar totals, and writes nothing until you approve. The order lands in AIMS360 on Hold, created under your own AIMS360 login and bounded by your role.

Without a connector like that, a general assistant can only read the email and draft the order for someone to key in. With AIMS360 connected, it does the keying, and you do the checking. It runs inside the ChatGPT, Claude or Grok your team already uses, so there's no new app or screen to learn.

The goal is simple: save time every day on order entry, order processing and order management.

How AI order entry works, from email to order

  1. Open the buyer's email

Paste the email into ChatGPT, Claude or Grok, or drop in the PO file. If your email is connected in the same assistant, it can read the message for you.

  2. Ask for the order

Say "create this as an order in AIMS360." The assistant picks out the customer, the customer PO number, styles, colors, sizes and quantities, and any dates the buyer gave.

  3. Answer what's missing

If the email doesn't name the season, or a color could mean two colorways, it asks and lists your company's real seasons, divisions, stores or colorways as a numbered list. You pick one.

  4. Check the preview

Before anything is saved, you see the exact order: every resolved code, every line by size, and the unit and dollar totals. Warnings show up here too.

  5. Approve it

Say yes and the order is created in AIMS360 on Hold. Price, terms, ship via, sales rep and warehouse come from the customer record or your company settings unless the email states them.

  6. Find it in AIMS360

It's a normal AIMS360 order, ready for allocation, picking and invoicing the way your team already runs them.

An example: the email, and the preview you approve

Here's what a typical wholesale reorder looks like on both sides. Names, styles and numbers are made up for illustration.

The buyer's email

From: Dana, Boutique West · Subject: PO 48213, spring reorder

Hi! Please put us down for style 1042 in Black: 6 small, 12 medium, 12 large and 6 XL. And 2207 in Navy, 12 medium and 12 large.

Ship to our Austin store. Start March 2, cancel after March 30.

Thanks, Dana

The preview, before anything saves

Customer Boutique West, customer PO 48213
Season Asked, then picked from your seasons
Ship to Austin store, from the customer's store list
Dates Start March 2, completed date March 30
1042 Black S 6, M 12, L 12, XL 6: 36 units
2207 Navy M 12, L 12: 24 units
Totals 60 units, dollar total at the customer's pricing
Status Saves on Hold after you approve

In AIMS360 the completed date is the date after which unshipped units are cancelled, which is what the buyer means by "cancel after."

What it checks before the order saves

The preview flags problems instead of hiding them, and AIMS360's own rules still apply. You decide what to do about each one.

Check What happens
Customer PO required If the customer's record requires a PO number, it asks for one before it will build the order. AIMS360 won't save the order without it.
Duplicate customer PO AIMS360 refuses a PO number the same customer already used on another order.
Sizes Each size is checked against the style's own size scale.
Colors A color is matched to that style's colorways. If it could mean more than one, you get the real options to pick from.
Missing details Season, division, ship-to store or colorway that the email didn't give comes back as a numbered list of your real options.
Unpriced lines A line AIMS360 can't price is flagged in the preview so you can decide.
Inactive customer or style Flagged in the preview, not silently accepted.
Credit limit and balance The customer's credit limit and open balance show in the preview, so a credit hold isn't a surprise.

Buyer changed their mind? Update the order from the follow-up email

Paste the follow-up and say "update order 1000114 to match." Update Order works on Open and Hold orders. It can change dates, ship via, terms, the customer PO and notes, set a size to a new quantity or add and remove units, and add a style and color the order doesn't have yet.

“Bump 1042 Black medium to 18 and push the start date to March 9.”
  • You see each change as current and new value. Start March 2 becomes March 9. 1042 Black M goes from 12 to 18. Each line is marked as an update or an addition.
  • It asks when a number is ambiguous. If a size has already shipped or cancelled units, it asks whether your number is the total or what's still to ship.
  • It reads the order back after saving and tells you if anything wasn't stored the way you sent it.
  • Some things stay in AIMS360. It can't change the customer or order number, cancel the order, or remove a whole line. It can lower quantities.

A style slips two weeks. Push every open order that has it

Ask the assistant to find the open orders with that style, push their start and completed dates, and list the customers you need to tell. There's no single bulk tool behind this. The assistant updates one order at a time, and each order gets its own preview and approval, so it works best for a handful of orders at once.

“Style 4412 slips two weeks. Push the dates on every open order with it, and list the customers to notify.”

Make yourself an order dashboard that flags the late ones

The same connection answers order questions from live data, with built-in shortcuts for overdue orders and orders with no allocation. Ask for the view you want and get it back as tables or charts.

“Make me an order dashboard: open orders by ship month, overdue, past the completed date, and unallocated.”

It refreshes when you ask again. It isn't a live tile on a wall screen, and for scheduled recurring output AIMS360 reporting is still the right tool.

What you need to use AI order entry

  • AIMS360 with the AI connection. It's an add-on available on every plan, Bronze, Silver and Gold, and as of October 2026 there's no charge for it.
  • An assistant. ChatGPT with permission to install plugins, or Claude or Grok with the connection AIMS360 provisions for your company. See which assistants connect.
  • Your own AIMS360 sign-in. Your account code, operator email and password, entered on the AIMS360 Runway login page, never in the chat.
  • A role that can enter orders. The assistant can only do what your AIMS360 role allows.
  • Styles already set up. Orders use styles that exist in AIMS360. Style setup from the chat is planned for version 26.11.02 in November 2026.
  • Optional: your email connected in the same assistant, so it can read the buyer's message directly instead of you pasting it.

What AI order entry won't do

  • It won't save without your approval, and there's no delete tool. A saved order is corrected in AIMS360.
  • It won't invent values. It sends only what you said. Price, terms, ship via, rep and warehouse come from the customer record or your settings.
  • It doesn't take card numbers. An order update can pick one of the customer's saved cards by its last four digits.
  • Some order types stay in AIMS360: credit card payments, prepayments, discounts, and bulk and distribution orders aren't created from the chat.
  • Allocation and invoicing from the chat are coming soon. Inside AIMS360 they already run on AI automations.

AI order entry, answered

It can if your ERP gives it a tool to do it. AIMS360 does. The AIMS360 plugin for ChatGPT includes Create Order and Update Order, so ChatGPT can turn a buyer's email into an order with lines and sizes, show you a preview, and save it to AIMS360 on Hold after you approve. Without a connector like that, ChatGPT can only draft the order for someone to key in. See the AIMS360 plugin for ChatGPT.

Yes. Claude and Grok connect to the same AIMS360 MCP server, with the same Create Order and Update Order tools. AIMS360 provisions the connection for your company. In Claude, keep the write tools set to Needs approval. See Claude and AIMS360 over MCP.

No. Creating or changing an order always takes two steps. The first step saves nothing and shows you the exact order, or each change as current and new value. Nothing is written to AIMS360 until you approve. There's no delete tool, so a saved order is corrected in AIMS360 itself.

Hold, unless you ask for Open. That gives your team a normal review point before the order moves into allocation and picking.

The assistant asks. Every order needs a customer, a season and at least one line, so if the season is missing it lists your real seasons for you to pick. An unclear color comes back as a question with that style's own colorways. It only sends what you said, and AIMS360 fills the rest from the customer record and your company settings.

AIMS360 doesn't read your email. If your email is connected in the same ChatGPT or Claude account, the assistant can read the message and pass the order to AIMS360 in one conversation. Otherwise paste the email or drop in the PO file, and it works the same way.

Yes, for Open and Hold orders. It can change dates, ship via, terms, the customer PO and notes, set or adjust quantities by size, and add a style and color the order doesn't have yet. The preview marks each line as an update or an addition. It can't change the customer or order number, cancel the order, or remove a whole line, but it can lower quantities.

Yes. Create Customer sets up the account with the five-character account code you give it, plus whatever details you provide. It refuses a code that's already in use and warns you about a similar customer name.

No. Retailer EDI 850 purchase orders already land in AIMS360 as orders through its built-in EDI. AI order entry is for the orders that arrive by email, PDF, text or phone, the ones someone keys in by hand today.

Not from the chat yet. Allocation and invoicing from the chat are coming soon. Inside AIMS360, intelligent allocation and automated invoicing already run on rules you set.

The AI connection is an add-on available on every AIMS360 plan: Bronze, Silver and Gold. As of October 2026 there's no charge for it. Your team also needs its own ChatGPT, Claude or Grok plan. See AIMS360 pricing.
